What a private AI knowledge base actually is, in plain English.

Owners keep hearing the phrase “RAG agent”. Underneath the jargon is a simple idea that is genuinely useful — and one detail that decides whether it is safe.

The idea

A general AI tool answers from what it learned in training: the public internet, up to a date. It knows nothing about your contracts, your procedures or your projects. A private knowledge base gives it your material to work from.

When someone asks a question, the system first looks up the relevant passages in your own documents, then hands those passages to the AI and asks it to answer from them, showing where each part came from. That two-step pattern — look up, then answer — is what “retrieval-augmented generation”, or RAG, means.

Why it beats pasting documents into a chatbot

  • It works across everything, not just the three files someone remembered to paste in
  • It shows its source, so the answer can be checked rather than trusted
  • Your documents stay where they are, instead of being copied into whichever free tool someone has open
  • It stays current — update the document and the answers change with it

The detail that decides whether it is safe

Permissions. A good system checks what the person asking is allowed to see before it looks anything up, so nobody can ask their way into the payroll folder or a confidential client file. A careless one indexes everything into one pile and answers anyone. This is the first question to ask of any product, and the one most demos skip.

The other questions: is your data used to train anyone’s model (it should not be), where is it stored, and is there a record of who asked what?

Where it earns its keep

  • “How do we do this here?” — staff questions answered from your own procedures
  • Contract, lease and specification questions, with the clause quoted
  • “What did we agree with the client about this in April?” — answered from correspondence
  • Onboarding, so new people stop interrupting the one person who knows

The honest limits

It is only as good as the documents underneath. Five versions of the same procedure produce confused answers. Fix the filing first, then add the AI. And for anything that matters, a person still checks the answer before it is relied on.
